Privacy at MailPair
How we handle the information you send.

1. What this policy covers
This Privacy Policy explains how MailPair handles information submitted to MailPair Jobs, including information sent to jobs@mailpair.com and information generated through related conversations.
2. Information we collect
We collect information you choose to send us, which may include:
- Your name, email address, résumé, portfolio, profile links, work history, skills, location, availability, compensation preferences, and career interests.
- Company information, job descriptions, hiring plans, role requirements, compensation ranges, and contact details.
- Email content, attachments, replies, and updates you send in the same conversation.
- Basic technical records created when you visit our website, such as IP address, browser information, request time, and server logs. We do not currently use advertising trackers or behavioral analytics on the website.
3. How we use information
We use submitted information to operate MailPair Jobs, understand what candidates and hiring teams are looking for, organize unstructured information, identify potential matches, communicate with you, prevent abuse, and improve the service.
4. AI-assisted processing
MailPair may use AI and other automated tools to extract, summarize, categorize, search, and compare information you provide. These tools assist with organizing context and identifying potential introductions. MailPair does not make hiring decisions, and the people involved decide whether to continue an introduction.
5. When information is shared
When we identify a potentially relevant match, we may share information you submitted with a prospective candidate or hiring team to facilitate an introduction. Do not send information that you do not want considered for this purpose.
We may also share information with service providers that help us operate email, hosting, storage, security, and AI processing; when required by law or necessary to protect rights and safety; or as part of a business reorganization or transfer. We do not sell personal information or share it for cross-context behavioral advertising.
6. Data retention
We retain information for as long as reasonably necessary to provide and improve MailPair Jobs, maintain matching context, resolve disputes, enforce agreements, and comply with legal obligations. You may ask us to delete your information at any time.
7. Your choices
You can update your information by replying to the same email thread. You can also request access, correction, withdrawal from matching, or deletion by emailing jobs@mailpair.com with the subject “Privacy request.” We may need to verify that the request comes from the relevant email address.
8. Security and international processing
We use reasonable administrative and technical safeguards, but no email or storage system is completely secure. Information may be processed in the United States and other countries where our service providers operate.
9. Children
MailPair Jobs is not intended for anyone under 18, and we do not knowingly collect information from children.
10. Changes and contact
We may update this policy as the service develops. The effective date at the top will show when it was last revised. Questions or privacy requests can be sent to jobs@mailpair.com.
